Been there done that, as you said before: herding the cats, organising everything, not actually committing GBH when the 2nd trumpet player says 'I forgot the music folder' 5mins before kick off as well as having a big gig to actually play on is more than enough stress-recording it is way down the list of imminent disasters to be forestalled!
If you have big files, I've found drop box to be great for sharing - i use it to sync files across all my devices - i make a change on eg a score on one machine, save to drop box and it's instantly updated on the others when I connect to the net - great and gives me a cloud based backup as well... You can also choose to make a folder public so you just send/publish an access address and the stuff in that folder is available to others - I'd guess there are others available but I've found this one great - and it's free!
